WEST MICHIGAN MUSTANG CLUB BOARD MEETING MAY 8, 2017 ABERDEEN REFORMED CHURCH
The meeting was called to order by the President, Chris Stawasz, at 706 pm.
Present were: Chris, Traci and Mary Stawasz, Joe DiLorenzo, Carol and Neil Keegstra, Gene Gibson, Phil Gibson, Dick and Sue Engel, Scott and Gail Broekema, Lori Stolte, Dave and Cindy Dunn, Dakota Brown, Dave and Heidi Mull, Tom and Julie Miller, Rick May, Frank Abrahams, Ron and Vicki Wilton, Gary and Cindy Marble, Dave Thelan and Lynn Trestrail.
Dakota Brown has been a member for about 3 years and this was his first meeting. Dave Thelan was also at the meeting and became a new member that evening. Thank you for coming to the meeting and Welcome to WMMC!!
Secretary: The minutes of the last meeting were read and the error stating we were meeting at Resurrection Church was corrected to Remembrance Church. Apologies for the error. A motion was made, 2nd and passed to approve the minutes.
Treasury: The Treasurer, Lori Stolte, distributed the report to members and the report was reviewed in detail. The balance is currently lower than last year but many show expenses have been covered and few registrations have come in. A motion was made, 2nd and passed to approve the Treasury report.
Activities: Heidi Mull reported that 26 cars went on the May 6 National Mustang Cruise. They had a sign-up sheet with them for Cisler’s picnic and Houseman’s picnic. Houseman’s is June 24 and Cisler’s is July 29. The trip to Gale Halderman’s is scheduled for August 5. A complete list of activities will be added at the end of the minutes.
Membership: Suellen Engel reported that there were five new members and one more member joined at the meeting. We now have a membership total of 204 members.
Merchandise – clothing: Joe DiLorenzo reported he will not be at the Show due to a knee surgery being scheduled the day before.
Old Business: Dave Dunn reported that he had the beginning of a Standard Operating Procedure Manual that he gave to Rick. Chris will ask Rick about that and the storage trailer will also be checked for that document. After the show, and throughout the year, this manual will be completed, stored in print and electronically and this will be available to members for future even planning.
Lori has the EIN# if organizations want it for their donations. We are not a true ‘nonprofit.’ Donors cannot deduce their contribution as we are a “self-declared nonprofit.”
New Business: Phil stated that folks are asking questions on the Facebook page and he answers them or brings the question to the meeting to get an answer and responds.
Show Business: Chris will be sending out weekly email messages to remind folks to register for the show and if done prior to May 31, there will be a discount. He will also request volunteers, sponsors, donations, etc. When volunteering, please mention if you have previously done something you liked so you can do that again.
Scott reports that he does have some goodie bag and raffle items.
We have a new sponsor and that is Costco and they will donate bottled water.
Gary will check on a photographer. Chris is talking to the church to see what they will offer for food and we will decide what we need to get to fill in. he will confirm if the church will have coffee or doughnuts. Chris has requested something more than hot dogs for food and to have the ability to purchase items separately.
The church has said that no vendors may put stakes in the ground. This is a newly redone parking lot and vendors will have to use weighted tie downs. Vendors will have 2 parking spots for one vendor space. ($20)
Steve’s music center will likely move nearer to the front door.
The church would like to have cars on display for several Sunday morning services prior to the show to generate interest and excitement.
We will be filling goodie bags at 6 pm the night before the show. The parking lot team will be marking the parking lot. Afterward we will offer sub sandwiches to the volunteers.
Traci Stawasz will be creating a spot for kid’s activities and events.
Raffle tickets will be changed this year and Carol and Gail are handling that.
The meeting was adjourned at 835 pm.
