WEST MICHIGAN MUSTANG CLUB BOARD MEETING JANUARY 17, 2022
BORGMAN FORD UPSTAIRS MEETING ROOM
Present were: Erin and Jeremy Hoard, Vicki Wilton, Maggie Turner, Gary and Ginny Marble, Joe DiLorenzo, Marty Mieras and Lynn Trestrail.
Call to order: 632 pm by Marty Mieras the new President.
Secretary report: The report was read. There were no corrections nor substitutions. Motion was made, 2nd and passed to approve minutes.
Treasury report: Lori was absent but sent the report and it was printed and distributed. The report was reviewed. There were no corrections nor additions. A motion was made, 2nd and passed to approve the report.
Membership: Sue was absent, but Lori sent a note that 123 memberships have renewed. She has another 9 or so to record and give to Sue.
Lori also reported via email that she has 1000 stamps, so the stamps are already purchased for the upcoming show mailings.
Merchandise: Nothing new to report. Still waiting on a couple orders to have enough to purchase. People mentioned a couple other things that the Club might want to sell i.e., Christmas ornaments with out logo on them, license plate holders etc. Gary will talk to Awards Plus to see if that company does anything like that.
Activities: We talked about the February Pizza party. We currently do not have a location for the pizza night. The advisability of having a pizza party in view of the current Covid virus situation was discussed. A motion was made, 2nd and passed to cancel the pizza party this year. Hopefully things will improve enough for us to have chili night in March. If anyone has a lead on where we could hold this event, please contact any board member.
Jeremy received the check off list for show planning from Kevin. Kevin had a previous engagement and was unable to attend. Jeremy and / or Marty will be in touch with Kevin to get things rolling for the letters for the show. Several people volunteered to help with folding and mailing.
A member suggested that it might be nice to put a picture of Ron’s and Pete’s cars on the flyer and dash plaques this year.
Our Food Trucks are locked in. We have Patty Matters and Smokey B’s BBQ on board. We may or may not pursue a dessert / ice cream type truck.
The Boy Scouts will provide an Honor Guard for the National Anthem at the beginning of the show. Jeremy is in discussions with them to see if they want to do coffee and donuts at the show.
We are asking all members to pick up items for the raffle table as they run into deals. These can be kept with the members and turned in to the raffle table the morning of the show. If each member donated one item, we would have an awesome amount for the raffle and that generates a LOT of income.
We are hoping to have a member volunteer to be the sponsorship coordinator. This person would keep track of national donations and local sponsorships. They must have correct donor information including a contact person and current address (so thank you notes can be written.)
We are also looking for a volunteer coordinator. This person would keep track of folks volunteering and knowing where they are needed the day of the show. Many people work all day but some prefer a shorter shift. The volunteer would be sure we have adequate coverage.
Please consider volunteering for these two positions!
We did not settle on charities for this year’s show; however, Lori’s Voice was mentioned again and also the Veterans Home. That will be discussed in February and hopefully added to the letter before it goes out.
We discussed trophies and want to be sure to include memorial trophies for Ron Wilton, Pete VanderVeen, Cindy Bishop and Clarence Worst. We will discuss the kind and number of trophies at the next meeting or two.
One member mentioned having a trophy or plaque for 1st place and medallions for 2nd and 3rd. A suggestion was made to speed up the award process since it gets so long. This will be discussed more in depth at the next meeting.
It was also suggested that the name of the trophy sponsor be put on the trophy. We were advised that this can easily be done.
Mustang Day is April 16. That is the day before Easter, so it was suggested that we celebrate that day on May 7. We will get the window clings or stickers for the Club. Berlin Raceway would like to host us for a Mustang Day Show and Shine kind of affair. We would meet early, cruise locally, maybe stop for lunch and then go to the raceway. The folks at Berlin have many ideas to invite WMMC to events. They would like to be a large sponsor of our Club. They would like to sponsor one or more ‘show and shines’.
A member wondered if it’s time for us to schedule another trip to Gale Halderman’s museum. We have many new members who might be very interested in this trip.
We discussed the idea of making up post cards to advertise the Clubs. Members could keep a few in their vehicles and then when a Mustang is spotted a card could be put under the windshield wiper. It’s more durable than the papers we used before.
A motion was made, 2nd and passed to adjourn the meeting. The meeting was adjourned at 735 pm. The next meeting is Monday February 14 and yep! That’s Valentine’s Day!
