WEST MICHIGAN MUSTANG CLUB 6-20-2022 BOARD MEETING
Borgman Ford Upstairs Meeting Room 6:30 pm
Present were: Maggie Turner, Lori Stolte, Rich May, Gene Gibson, Rick and Krista Boomers, Ginny and Gary Marble, Joe DiLorenzo, Dave and Cindy Dunn, Dan Lemons, Jeremy Hoard, Marty Mieras and Lynn Trestrail.
Secretary report: The secretary report was read and there was a correction. We need someone to handle merchandise, not membership. A motion was made, 2nd and passed to approve the minutes.
Treasury report: The report was distributed and reviewed in detail. Lori presented a spread sheet detailing the show expenses/income as well as the regular treasurer’s report. A motion was made, 2nd and passed to approve the Treasury Report.
Merchandise report: Joe reported that we have no more flags for sale. He is going to order more. Joe will call the company in Colorado to be sure we can still get them.
We have 2 hats left after the show, so Joe is going to order more hats. A motion was made, 2nd and approved to give Joe permission to replenish our merchandise up to $600-700. Joe reported he will not be resigning from the merchandise sales at this time.
Activities: Lori reported that 46 people have RSVP’d for the picnic on June 25. It is from 4-8 at Houseman’s house in Dorr. Those attending should bring a dish to pass, their own chairs and their own non-alcoholic beverage.
-July 20 and August 17 are the dates of the Show and Shines at Berlin Raceway. We must arrive by 4 pm. We will have special parking under the bleachers.
-July 9 is the day for the Mustang meet Camaros in Kalamazoo event. Proceeds of this show will go to Talons Out. Talons Out is an organization that flies veterans (and a companion, if needed) to the War Memorials in Washington, DC. WWII veterans are the priority right now. Those wanting to caravan to the Mustang/Camaro event should meet at the Old K-Mart lot off 131 and 68th street at 7:30 a.m. It was suggested that the Club make a donation to Talons Out. A motion was made, 2nd and approved to donate $100 to Talons Out.
-Talons Out is having a car show at Wings Stadium on July 10.
-Woodward Dream Cruise. Jeremy reported that he got confirmation that we are accepted into the Cruise Parade. They originally said 10 cars could cruise but had to drop the number to 5 due to the number of Clubs replying. If you are going to the car show, please email Jeremy to confirm. Jhoard75@gmail.com. There will be a car corral for both days. Parade info is due to Jeremy by July 1. This event is August 19-20th.
-The MOCSEM show is August 21st.
-The Metro Cruise is August 27 th. Borgman Ford is welcoming us back to their lot to park and display our cars. They will have refreshments and those will be available to Members in good standing only.
MCA report. Tom and Julie Miller emailed the MCA report. A copy of it can be found on the website.
Jeremy was asked about the Blue Oval Blast and it will be held the day after the MetroCruise on August 28.
Taco night and Christmas celebrations. We are in touch with Frontline Church regarding these events. We are planning Taco night for Saturday October 8 and our Christmas dinner will be November 5. Stay tuned for further information.
Old Business: nothing not already addressed.
New Business: securing locations for our wintertime gatherings. Lynn volunteered to make some phone calls.
Show Business: Marty thanked everyone for their hard work at the show. He said the show was great and the credit went to the volunteers. If the show isn’t great, he takes the blame. Marty also said there were a few complaints at the show and he wants all volunteers to contact him with complaints. He stated that as the President, he wants to resolve any issues.
Marty asked what 3 things were successful at the show. All thought the Food Trucks were good, though would like them to come a bit earlier. Everyone thought the coffee and donuts were GREAT! Thanks to the Hoards for stopping for those. The water was good for volunteers. We had none to start and Jim Trestrail went to the store and got water and ice. We want to plan on that for next year. We may even provide water for attendees again as we did in the past. Perhaps a local store would like to donate water next year.
It was suggested that we try to get an ice cream truck/ wagon to come to the show. Many folks thought that would be a great addition. If anyone knows of an ice cream truck, please let a board member know so we can get them signed up for the show.
The consensus was that we need to have more volunteers for parking, counting ballots and clean up. Please begin to think about this now so we can build a good volunteer list. It’s not too early to start planning.
We would like to get our volunteers lined up early so we can have an in-service for them. Several who are in charge of areas will compile a list of instructions to follow. We already have several volunteers who have signed up. Thank you to those have already volunteered!!
We need to encourage show attendees to stay to the end of awards. One attendee was a class winner and was going to leave. He was encouraged to stay and was actually the top winner. We need to encourage all to stay till the end of announcement of winners.
We want to update the How to have a Car Show binder or the Car Shows for Dummies binder and include step by step directions for a show and include the information on how to have our other parties: taco, Christmas, pizza and chili.
It was recommended that we compile an agenda for the show, so folks know the order of things and where to find them.
There will be NO July meeting. The next meeting will be August 8, 2022 at Borgman Ford in the upstairs meeting room.
