Special pre-show board meeting held Monday, June 22, 2015 at 7:00 pm.
The meeting was held in the downstairs conference room of the Tony Betten Used Car Sales Building.
Present were: unfortunately, did not write down all attendees.
Called to order at 7 pm by Chris Stawasz
Sponsor board – Chris and Tracy picked up a 5 x 7 board and will write the sponsors on it in alphabetical order. They will be in charge are getting this put together and displayed.
Cake – Ron Wilton will call Meijer on Wednesday to confirm the number of pieces that we want. Currently we have enough cake for 1000 pieces on order. Based on weather predictions for Saturday, he may have them lower this amount. He will also ask for the amount of the bill so that he can have a check ready for Saturday. Lori will make arrangements to pick it up between 10 and 10:30 am Saturday and will start serving around 11 / 11:30 am.
Cindy Klein has the key from Betten for the oil bay where we will set up the goody bags Friday night and to get into it Saturday morning to get our things.
Kevin the food vendor will be at Betten at 6 pm Friday. Most everyone will be there for the goody bags so we will meet with him to discuss needs/plans. He is a new food vendor this year and the previous group cancelled. He will be donating ½ of his proceeds to the VA. He will also have coffee and donuts for purchase Saturday morning.
Chris S will determine on Friday night if we will be ordering from Jimmy John’s to provide subs at the end of the day for volunteers before heading to the VA facility.
Patty and Carl have already picked up somethings from Rick for the show and will pick up the remainder on Tuesday.
Ford Trailer will be here Saturday morning at 6 am. Betten Ford has requested that they park on the north side of the lot at the edge of pavement right by the grassy corner. Members of the club will be there to meet and direct them.
Layout for cars? Kurt Kline was asking for the layout of the lot for how to park the cars. Dave Dunn had one from last year. We are not parking by class. Just starting at the front and working towards the back. Glenn wants the first row by the building to be for customers. Then the next three rows can be for the club. First generation will be parked in the front lot along the road. Fords will be on the north side of the building and all other Mustangs will be on the south and back. Show is only for Fords and Mustangs – no motorcycles or other makes and models.

Who at Better will pick best Mustang?
Bring walkie-talkies if you have them so volunteers have a way to communicate.
Sound System – Chris will help Steve. Someone volunteered Katie Deboer to help at our last meeting. If you are reading this, please come up to the tent to see how you can assist with the announcements and music throughout the day.
Three of the four cars are now in the show room with Lynn T bringing hers in on Tuesday.
WMMC Trailer – Rick May will be picking up the trailer and bringing it over on Friday night. Rick May brought up that we need to look at getting a cover for the trailer to help protect it from the elements or find a place to store it inside. Roz is going to donate a ‘bag’ that will fit over the trailer and it can be vented. Also, it was brought up by Chris S that the roof is in need of repair. He is checking into costs.
We need to have extra people at the gates – especially the back gates – to try to protect against people cruising the lot and potentially damaging any cars. We need at least 3 people at the main gate to take money.
Looking into additional signage for show car parking and customer parking.
Raffle prizes – have approximately 18 right now. Please bring these Friday night or by 7 am Saturday morning so we have time to set them up.

MRT – there has been no response to emails and other contact of whether they are coming or not. Currently assuming that they are not coming.
Currently have 22 sponsors.
Door prizes – we will draw numbers to match with people’s car registration numbers. There will be a white board to write the numbers. These will be erased as people come up to pick up their prizes.
We will need to go thru the stuff from Rick on Friday night which will include stuff for the goody bags and the registration forms. The registration forms still need to be alphabetized.
Tom Antor from the Freedom Cruise is trying to arrange about a 100 parking spaces at the VA Facility for the club after the show is over. After the show is over, the club will be cruising over to the VA Facility. There will be local bands playing 4 to 6 with a presentation to a family at 6 pm and Madison Rising playing at 7 pm.
